I need to submit email records as PDF, but all I have are MSG files. What's the easiest way?

I have several Outlook MSG files that I need to share for documentation purposes. The people receiving them cannot open MSG files, and sending screenshots is not practical. I need a way to convert these emails into PDF while keeping all important information visible.

If you only have MSG files and need to submit them as PDF, you’re basically dealing with a format compatibility issue. MSG is tied to Outlook, so most people outside that setup can’t open it properly, which is why your recipients are struggling.

A quick manual way is to open each MSG file in Outlook (or even Windows Mail if it supports it), then use “Print” and select “Microsoft Print to PDF.” It works but it gets messy if you have many files. You also lose some control when dealing with attachments or bulk emails, and doing it one by one can take a lot of time.

That’s usually where people start looking for a batch option. Something like DataVare MSG to PDF Converter is used in cases like these because it can load multiple MSG files at once and export them into PDFs without repeating the same print steps again and again. It also helps when you don’t have Outlook installed on the system.

One thing I’d still suggest is to keep a backup of original MSG files before converting, just in case you need to recheck any email thread later. Furthermore, always open a couple of converted PDFs first to confirm formatting looks fine before doing a full batch.
